What exactly does an event planner do?
As your event planner, I'm your reliable partner who takes the organizational stress off your hands, so you can relax and enjoy your event. I take care of the concept, budget planning, selecting the right vendors (such as venue, catering, or decoration), and smooth logistics.
Which regions does Jana Hübener serve?
My main focus is the Tegernsee, Schliersee, and greater Upper Bavaria area. Thanks to my strong network, though, I'm just as happy to plan events anywhere in Germany or abroad – no matter where your dream location is!
How much does an event planner cost?
The cost depends entirely on the scope and type of your event – I don't offer flat standard rates. Let's talk about your ideas in a free initial consultation, after which I'll put together a tailored quote that fits your wishes and your budget.

Yes, absolutely! I'm just as happy organizing private highlights (like birthdays, weddings, or family celebrations) as I am professional corporate events (such as anniversaries, holiday parties, workshops, or conferences).

Full-Service Planning: Complete peace of mind from the initial idea through to the day of the event.
Partial Planning: Targeted help with specific areas, such as venue search or vendor coordination.
Day-of Coordination: You plan it, I keep everything running smoothly behind the scenes on the day itself – for a relaxed appearance as host.
How far in advance should I book?
This depends a lot on the type of event: Weddings and Large Celebrations: Popular venues are often booked 1–2 years in advance – the earlier we start, the more relaxed the process.
That said, last-minute inquiries are often worth trying, especially in the off-season and during winter.
Seminars, Workshops, and Smaller Corporate Events: Usually bookable at short notice.
Larger Business Events and Anniversaries: A lead time of 3–12 months is recommended.
Even with spontaneous ideas, it's worth reaching out – thanks to my network, I can often find suitable solutions on short notice too.
Does Jana Hübener work with fixed/regular partners?
Yes, I have a strong, well-established network of reliable vendors – both local and beyond, ranging from venues and catering to photography, music, and decoration. Should the right partner not already be part of my network, I'll actively search until I find one for you.
How does the collaboration process work?
Transparent, trust-based collaboration is my top priority:
Your Inquiry: You share the key details of your event with me.
Free Initial Consultation: In person, by video call, or by phone – we discuss your wishes, ideas, and budget, and see if we're a good fit.
Proposal and Concept: You receive a tailored proposal including initial concept ideas. We clarify any questions in a follow-up conversation.
Contract and Detailed Planning: Once the contract is signed, we get started – in a detailed discussion, we dive deep into your vision so I can suggest the right vendors.
Decision and Implementation: You decide which vendors to book. I handle the coordination and keep you consistently updated on progress and budget.
Who signs the contracts with the vendors?
You sign the contracts for catering, venue, photography, etc. directly with the service providers – this guarantees 100% price transparency with no hidden markups. I take care of gathering quotes, negotiating, and coordinating everything.
What happens if you get sick on the day of the event?
Don't worry, your event always comes first! For emergencies, I have a reliable network in place: I work with trusted colleagues who can seamlessly step in for me, guided by my detailed event plan.
Do you keep track of our budget?
Yes, absolutely! With my background in business administration, I keep numbers and costs structured from the very start – transparency always comes first. At the beginning, we create a budget overview, which I update continuously. Before any contract is signed or costs are incurred, you get the final approval. For unforeseen expenses: I build in a realistic buffer right from the start. For hard-to-predict items (e.g. drinks based on consumption), I rely on my experience to keep them as well-calculated as possible.
What if we already have our own vendors?
That's absolutely no problem! I'm happy to include your preferred providers in the planning and coordinate directly with them.
How can we reach you during the planning phase?
We stay flexible and in touch – by email, WhatsApp, or phone. Depending on the planning phase, we also schedule fixed milestone calls.
What does your payment structure look like?
Fair and transparent billing is very important to me.
Private celebrations: Staged by milestones – a reservation payment, an interim payment at the mid-planning point, and a final invoice after the event.
Corporate clients: Usually a single invoice after successful completion.
Flexible & individual: If a different model suits your budget or accounting better, we'll discuss it in our initial consultation.
What happens if we need to postpone or cancel the event?
In case of a postponement, we'll find a new date together. In case of a cancellation, the fair, contractually agreed cancellation terms apply – you'll only be billed for the work actually completed up to that point.
Are you personally on-site on the day of the event?
When booked as Day Manager or as part of full-service planning: yes, absolutely! I'm there behind the scenes, handle anything unexpected smoothly, and make sure all service providers work hand in hand – so you can relax and enjoy the celebration.
Can we book you for a consultation only?
Are you planning your event yourself but still need expert tips, a clear timeline, or venue ideas? Let's simply arrange an hourly consultation. We'll gladly clarify all the details in person during our initial conversation!
What's the difference between the venue's own event manager and you?
The venue's event manager is primarily responsible for the building and internal operations.
I, on the other hand, am your event planner, your personal point of contact, and I keep the entire big picture in view.
What this means: Coordinating and aligning all external service providers (photo, music, decor) as well as budget and timeline control.
Point of contact for all guests: I make time for your guests, both beforehand and intensively on the day itself. Whether it's secret speeches, games, or surprise contributions – your guests can reach out to me directly.
